Using Box: Bookmarks & Shared Links

Why use shared links for files?

In addition to using bookmarks to link to your Moodle page, an article, or a website, you can also use bookmarks (shared links) to link to internal files within Box. What is the potential advantage of doing this? (If you just want to add a bookmark to an online site, skip to step 4 in "Bookmarks" below.)

  1. If you have a document in your personal or department's Box account that you want students to see, you can create a shared link to the document rather than uploading the file to your class folder.
  2. If it is a working document, you only have to update it in one location. People with access to the shared link will be able to see any changes you make to the file without having to have access to the folder the original file is located in. They can see your updates in real time.
  3. You can set an expiration for the bookmark or shared link when you create it. If you only want your students to have access to the link for a limited period of time, you can pre-determine the expiration date and Box will remove the link for you on that date.

Shared Links and Bookmarks

1. Find the original file you want to bookmark in Box. At the end of the line it says “Share”. Click on it.

 

2. A pop-up will open. Switch the toggle on “enable shared link”.

3. Copy the link provided.

4. Navigate to where you want your link to appear. Click on “New” at the top of the page and select “Bookmark”.

5. Paste the URL you copied and then provide the name of your document.

6. If you would like to set an expiration date for your bookmark or shared link, see below or go to "Expiration Dates".

Setting an Expiration on a Bookmark

1. Select the bookmark you would like set an expiration date on and click the ". . ." next to "Share."

2. Click on "More Actions."

 

3. Click on "Set Expiration."

 

4. Check the box next to "Auto-delete this item..."

 

5. Select the date for when the bookmark will be removed from the folder. Please note, this removes the bookmark to the file, not the file itself.

 

 

 

Link Settings

Alternatively you can set some of the shared link and expiration settings through the "Link Settings" feature.

1. Find the original file you want to bookmark in Box. At the end of the line it says “Share”. Click on it.

 

2. A pop-up will open. Switch the toggle on “Enable shared link”.

3. Click on "Link Settings."

 

4. Check the box next "Disable Shared Link on" and pick the date when you want the bookmark to expire.
