Renew Items

Renewing Books Online

PLEASE NOTE: At this time only Earlham, ESR, and Bethany Students, Faculty and Staff can renew books through the library catalog.

If you are a Community member, Contract employee (NMR or Metz), or family member of faculty or staff or do not have a valid Earlham username and password, please renew books by contacting library staff via email at circulation@earlham.edu.

Please note that some items may not be renewed. These include items requested through PALShare, Reserve materials (includes AV equipment), and Board Games.

In the top right corner of the main screen of the Earlham Libraries Catalog you will see an option titled "Sign In" Click on this to log in.

Earlham, ESR, and Bethany affiliated users will be redirected to The Heart to log in with your Earlham username (email address without @earlham.edu; no capital letters) and password.
If you have problems logging into your account, please check with library staff.

Once you are logged in, you will see your name (replaces the Sign In button) with "My Account" under it. Click "My Account" to display the drop down list of options.


Click on the Checkouts option to see the list of items currently checked out to your library account. You will see all items checked out from Earlham, through PALShare and through Interlibrary Loan (ILL). You will see a Renew Items button at the top of the list. To renew an item from Earlham or PALShare, check the box to the left of the title of the item (or select all if applicable) and click Renew Items.

NOTE: ILL items must be renewed differently from Earlham or PALShare items. For more information on the ILL renewal process, see the FAQ entitled "How do I renew?" on our ILL web page.

You will be asked to confirm that you want to renew the item in a pop up box.

If you are unable to renew an item, it means that you have either reached your renewal limit, or that the item cannot be renewed (i.e. the item has been placed on hold for another patron, or is on Reserve). Please contact circulaton@earlham.edu for assistance.

Once your renewal has been submitted, you will see a message at the top of the screen to confirm.

The item will be moved to the bottom of your Checked Out list and the new due date will display on the screen.

Renewal Limits

Earlham Students: 5 renewals per book; 1 renewal per media item
Bethany and ESR Students: 2 renewals per book; 1 renewal per media item
Earlham, Bethany, and ESR Faculty, Staff, and Retirees, contract employees and family members of Faculty and Staff: 3 renewals per book; 5 renewals per media item
Alumni and Off-Campus (Community) Patrons: 5 renewals per book; 1 renewal per media item (for use in library only)
ALI-affiliated patrons: 1 renewal per book; 1 renewal per media item
PALNI-affiliated patrons:  0 renewals

Books requested through PALShare may be renewed for 30 days.

If the renewal limit has been reached, books must be brought to the circulation desk for additional renewals.

NOTE: Materials received through InterLibrary Loan have different renewal periods. For more information on ILL renewals, see the ILL page.

Automatic Renewal for Faculty

Most books* checked out or renewed by faculty are eligible for automatic renewal. If an item is eligible for automatic renewal and no holds have been placed on it by other patrons, the item will automatically renewed on the due date. Faculty will still receive a courtesy notices prior to the due date. If no other notices are received, the item has been renewed.

Faculty should log into their library account online or ask Circulation desk staff for their new due date. If the item is not eligible for automatic renewal, an overdue notice will be sent as usual. In this case, faculty should email circulation@earlham.edu for more information.

After the renewal limit has been reached, faculty will no longer be eligible for automatic renewal. Please either return the item, or bring it to the library to have your account updated to allow for an additional automatic renewal cycle.

*Media items and new books are not currently eligible for automatic renewal, due to shorter loan periods and popularity of the items.

Problems with Online Renewal?

Renewals may not be possible if a "hold" has been placed on an item.
Overdue items must be brought to the library for renewal. If this is not possible, please contact a Circulation supervisor.

If you have problems renewing your books through the online catalog, please send an email with the titles of the items you'd like to renew to circulation@earlham.edu.

It is also possible to renew your books in person, as long as you provide library staff with your name and the title of the book. It is not necessary to have the books with you for renewal unless the items are overdue.

Items that cannot be renewed

Reserve items, including AV equipment and laptops, may not be renewed. These items must be brought to the Circulation Desk and checked in. If no one else is waiting for the item, it may be checked out again immediately.

Board games also may not be renewed.
