Friends Collection and College Archives: Research and Digitization

We have resumed limited research and digitization services for non-Earlham patrons. Large or time-consuming research or digitization requests will probably not be available until Fall 2021 at the earliest. Let us know what you need, and we'll tell you if it's possible to do it at this time. Otherwise, we may ask you to contact us again in the future. 

Research and Reproduction Fees

The Friends Collection and Earlham College Archives will reproduce documents or images for on-site and off-site patrons; fees may apply. (For information on AV materials, see below.) The Archive retains the right to refuse research and reproduction requests. Shipping charges will be assessed for all materials mailed to off-site users. The Friends Collection and Earlham College Archives will allow reproduction of materials for use in publications. Please contact the archivist for permission.

We do our best to do research and digitize materials as quickly as possible for our patrons. However, research and digitization are slow processes, and we often get multiple requests per week. Because we are a small archive with a small staff, please be aware that it may take up to a week for us to research and digitize materials for members of the Earlham community and a month for us to research and digitize materials for off-site patrons. If it’s a large research or digitization project, a busy time of year, or during a break in the school year, it may take longer. Please plan ahead.


Research and Reproduction fees:

Please pay close attention to the information below. Due to the high volume of requests we have had in the last several years, we have had to change our policies and begin charging for services we once provided for free. The flat-rate research fee is required in advance; we will not begin looking into requests until we receive the required research fee (see below for pricing). This fee is levied regardless of whether we are able to answer the question since it covers the time involved investigating sources. If we digitize something as part of the request, an additional fee may be due (see below for pricing). Payment of the additional digitization fee is required before scans will be sent.  (See below for payment information.) Failure to pay the appropriate fees will result in a termination of future services.

The research fee is a flat-rate fee and digitization services are added on top of it. Please be aware that we may charge more than the prices listed below for time-consuming and/or difficult requests. Extra fees will be negotiated in advance.

*Note: Documents are .20 cents per page for the first 25 pages. After the first 25 pages, we will charge $7.50 per set of 25 pages on top of the .20 cents per page fee. We will round up to the nearest 25 pages. Example. Twenty-five pages would cost $5. Twenty-six pages would cost  $12.70 with the additional $7.50 fee ($5.20 + $7.50). Fifty-one pages would cost $25.20 ($10.20 + $15).

Audiovisual Collections We do not digitize materials from our audiovisual/media collections. Please see below for more information.

International Wire Transfers:

There will be an additional $20 fee for those paying via International Wire Transfer. Please contact Jenny Freed for details if you plan to use this method of payment.


Audiovisual Collections:

The non-circulating video and audio collections formerly in ITAM are now located in the College Archives. We know that ITAM once provided a duplication service to patrons. Because we are an archive and not a media lab like ITAM, we unfortunately will not be able to continue this practice.

Earlham faculty members who would like to request a recording for a class, under the guidelines of Section 107 of the Copyright Act ("fair use"), may do so. Exceptions can be made subject to 1) collection deposit agreements; and 2) signed redistribution arrangements made at the time of the original recording of the event. We will do what we can to accommodate your request once the collection has been unpacked and processed.

Notice on Copyright Restrictions

The copyright law of the United States (title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material.

Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction.
