Friends Collection Hours and Policies
Our hours change from the ones listed during breaks and for other expected and unexpected reasons.
Because we are a Special Collections Library and Archive, our hours are different from the rest of the library. Please check our hours carefully to make sure we will be open for your visit. Sometimes we are in meetings or away from campus and we may have to unexpectedly close. We try to keep these times to a minimum.
PLEASE NOTE that due to the pandemic, we have different policies for on-campus and off-campus researchers. You can find out more about this on our "Services and Policies During Covid" tab.
The Earlham Libraries do not typically allow holds to be placed on materials; we follow this practice as well. However, if you need an item from the collection and the hours listed simply do not work for you, please contact Jenny Freed directly by e-mail or phone (765-983-1743) to see if a special accommodation can be made.
These hours are for on-campus students, faculty, and staff only. If you are an off-campus researcher, see the box below.
Hours for On-Campus Visitors
Tuesday-Friday, 9:00-12:00, 1:00-5:00
Due to ventilation and space concerns, there will be a limit on the number of people allowed in at one time. Members of the Earlham community can walk-in to the archives without an appointment, space permitting, but if you want to reserve a time to come in, please reach out to Jenny Freed via e-mail to set up an appointment.
We are open by appointment only for off-campus visitors.
Due to ventilation and space concerns, there will be a limit on the number of people allowed in the Archive at any given time. Planning your visit:
1. Contact Jenny Freed via email to set up an appointment for your visit. Only people with an appointment that has been set up and approved by Jenny will be allowed into the Archive.
2. Once your appointment time has been set up and approved, please send Jenny a complete list of archival materials you would like to review during your visit. (Finding aids for our archival collections can be found here: https://archives.earlham.edu/) We will have your research materials pulled and waiting for you. You will be able to browse and pull materials from our open stacks.
3. Once you arrive on campus, please call Jenny at 765-983-1743. She will meet you on the library porch. You will be expected to show PROOF OF VACCINATION and be wearing a face mask. You will not be allowed into the building without these two items.
4. We request that you stay in your assigned research space for the duration of your visit with us, except when you browse the shelves or use the restroom, and follow campus safety protocols. This includes but is not limited to practicing social distancing.
Reference requests will be handled on a case-by-case basis. Acceptance of the request will depend on its size and staffing availability. Priority will be given to members of the Earlham community and members of the New Association of Friends and Indiana, Western, and Northern Yearly Meetings.
Please be aware we do charge for some services. See here for our complete list of research and digitization fees. Please let us know if you are an alumnus of the college or affiliated with one of our partner yearly meetings.
If it is a large or time-consuming research or digitization request, we may ask you to contact us again in the future. We cannot accommodate large requests at this time.
In the past we have allowed patrons to use the Archives' scanners for personal use such as class projects and scanning family photos. Due to the small size of our digitization room and the difficulty of cleaning the scanners between each use, this service is suspended until further notice.
