Information on library service impacts due to coronavirus

Library services

Lilly Library open for Fall semester

Lilly Library is open for Fall semester starting Monday, August 10. Access will be limited to Earlham, ESR and Bethany users only. Users will need to swipe their campus ID at the front door to gain entrance to the library. Card swipe access is limited to the South entrance door (left side when facing the front entrance)

At this time Community members and other visitors are not permitted to access the Library.

The Friends Collection and College Archives will be open by appointment only after Fall semester begins. Please see their website for details: https://library.earlham.edu/c.php?g=82612&p=7660426. Users may continue to place holds on items from Friends circulating collections (see Grab and Go details below) for pickup at the Lilly Library circulation desk. See the Grab and Go section below for more details on placing holds and how often Friends materials will be pulled for pickup.

Study rooms will be closed to all users during this time, due to health and hygiene concerns. Seating arrangements have been adjusted to address social distancing guidelines. 

 

Grab and Go Service still available

Grab and Go service continues to be available at Lilly Library for students, faculty and staff of Earlham College, ESR, and Bethany who prefer for any reason to minimize their exposure while on campus. This service only applies to items owned by Earlham College Libraries. To participate, place a hold request for an item that is owned by Earlham College and currently listed as available in the library catalog.
(To place a hold: Search for items in the catalog, limit Held by Library to Earlham College, click the title of the item and click Request Hold. On the hold form, please choose that you want "Specific Copies or Volumes" and select the copy you want from the Lilly or Friends collections listed).

At this time we are unable to offer pickup services to members of the general community.

Pick up will be available during regular library hours. Items must be placed on hold by 8am in order to be available for pickup same day/next business day (i.e. holds placed by 8am Tuesday will be available for pickup Tuesday; items placed on hold prior to 8am Monday will be available for pickup on Monday; items placed on hold after 8am will be available for pickup the following business day).
Please note: Friends Collection and College Archives materials will be pulled Monday-Friday, depending on staffing availability. Check for the hold pickup email to verify that your materials are ready before coming in to the library. 

You will receive an email when your items are available for pickup. If you are not getting emails, check your spam filter to make sure they aren't being caught there.
To pick up items, come to the circulation desk of Lilly Library. 

If you have problems locating an item in our catalog or placing a hold, please contact circulation@earlham.edu for assistance.
 

Returning items

Please continue to use the book drop to return items to the library. The book drop is located to the left of the main entrance when you are facing the library (south side of the main entrance).
 

Interlibrary Loan

Regular Interlibrary Loan services have resumed for Earlham, ESR, and Bethany students, faculty and staff. Please note that you must be on campus in order to request physical materials through ILL. We cannot ship items to remote users.
Please be aware that incoming physical materials will be subject to a COVID-related mandatory 3 day quarantine. After 3 days items will processed for patrons and available to pick up. These guidelines help ensure the safety of our users.

PALShare services are also now available, but these items are also subject to the 3 day quarantine of incoming materials.

ILL services are now provided through a new interface, is called Tipasa. Tipasa functions similarly to our previous ILL system. For more details on Tipasa, see the InterLIbrary Loan section of this page (below) or go to the ILL web page.

Interlibrary loan materials checked out prior to the COVID-19 closure in March cannot be renewed and should be returned at your earliest convenience. Lending libraries are being lenient about late returns but will need items returned as classes resume in the fall.

 

Friends Collection and College Archives

The Friends Collection and College Archives will be open for research by appointment to students, faculty and staff of Earlham College, ESR, and Bethany after the Fall semester begins. Members of the Earlham Community can place holds on books in the Friends Circulating Collection. Holds from the Friends Collection will be available for pickup at the Circulation desk on the main floor of Lilly Library. Accessing eResources

Library eResources are available to users from the campus community who are currently off-campus. To access our Databases, please use the links on our A-Z database list, and enter your Earlham College username (without @earlham.edu; no capital letters) and password when prompted. If you have problems accessing any of our databases or other eResources, please check our page on Off-Campus connection help or email researchhelp@earlham.edu.

You can continue to access other eResources (ebooks, electronic journals/articles, etc.) through the library catalog or the Journal Title Advanced search. Some providers are making more of their resources freely accessible during this time. Those items have been included in our A-Z database list or added to the library catalog for ease of access. 

Streaming films can be accessed by the campus community through the library catalog, or by going directly to Kanopy or Theatre in Video. Earlham can also obtain streaming films through Swank Digital Campus: contact researchhelp@earlham.edu for assistance. Due to copyright, we do not rip library DVDs to post online. If no Earlham options are available, students may have to use personal Amazon, Hulu, or Netflix memberships they might already have access to, or pay less than $5 to rent a title from a commercial provider (e.g. Amazon iTunes, Google Play, etc.). Faculty are encouraged to be flexible.

Access to existing guides for Fall Semester classes is still provided through the library web pages.

Library hours

Lilly Library is open to Earlham, ESR and Bethany users for Fall semester starting Monday, August 10.
The Science and Technology Commons Service Desk will also be open starting Monday, August 10.

Access to physical materials from Earlham Libraries

Please see the information above for additional information about placing books on hold for pickup at the circulation desk, or reference our Library hours for times when you can come in to select materials on your own.

Due dates for items currently checked out from the Libraries

Items that are currently checked out to users (including reserves) had their due dates changed by library staff in March. You should have received an email with your new due date when these changes were made. If you have questions about your new due date, please contact us at circulation@earlham.edu.

PALShare due dates were also extended in March. As many PALNI libraries have begun the reopening process, we are no longer extending due dates for PALShare items. Please return these items to Lilly Library as soon as you are able. If you are unable to return your PALShare items at this time or have other concerns or questions about PALShare, please email circulation@earlham.edu. PALShare services will resume later this summer, but at the moment new requests cannot be placed for these items.

Earlham and Seminaries students, faculty and staff due dates were extended to early September.
Graduating seniors due dates were extended to June 30. 
Community members due date were extended to July 1 and overdue fees will not apply.
In all cases, please contact us if you need an extended due date or are unable to return library materials.
 

Returning materials to the library

If you have library materials, ILL items, or PALShare items that are now due, please return them to the library as soon as you are able. PALShare and ILL items cannot be renewed at this time. 

Materials may be returned to Lilly Library via the drop slot (to the left of the main doors to Lilly Library).
Users who are off-campus may return items by mail if desired (mail to: Lilly Library 801 National Road West Richmond IN 47374). If you have questions or concerns about returning library materials, or are unable to return items for any reason, please email circulation@earlham.edu.
 

Borrowing new materials from the Libraries

Earlham, ESR, and Bethany users may now come to the library during our open hours to check out materials. You may continue to place things on hold through the library catalog for pickup at the circulation desk. 
The Friends Collection and College Archives remains closed at this time. You may continue to place holds on items from their circulating collection to pick up at the Lilly circulation desk. See above for more details.  

InterLibrary Loan updates

NOTICE TO ALL USERS:  ILL services are now fully operational. Physical and electronic items may be requested through ILL. 

  • Users must be on campus in order to request physical materials through ILL. We cannot ship ILL items to remote users. 
  • Interlibrary Loan services for all materials are fully functional. Please be aware that incoming physical materials will be subject to a COVID-related mandatory 3 day quarantine. After 3 days items will processed for patrons and available to pick up. These guidelines help ensure the safety of our users.
  • PALShare services are also now available, but these items are also subject to the 3 day quarantine of incoming materials.
  • If you currently have InterLibrary Loan materials checked out prior to our COVID-19 closure in March, these cannot be renewed and should be returned at your earliest convenience. Lending libraries are being lenient about late returns but will need items returned as classes resume in the fall. At this time no fines will be charged, but this may change if materials are kept into the Fall semester.
